Adding to Existing Inventory

Receive additional shipments of coffee lots already in your system

Goal: Learn how to add more coffee to existing inventory items.

Prerequisites: You must have existing coffee inventory in your RoastLog account.

When to Add vs. When to Create New

Before adding to existing inventory, consider whether this is truly the same coffee or if you should create a new Bean Lot:

Add to existing when:

  • It's the same coffee from the same lot/harvest

  • The price hasn't changed

  • You simply received an additional shipment

  • You want to track it as a single inventory item

Create new when:

  • It's a different harvest/crop year

  • The price has changed

  • The lot number or ICO mark is different

  • Quality characteristics have changed

  • You want to track it separately

Adding to Warehouse Inventory

For coffee still in the warehouse (not yet moved to a roasting location):

  1. Go to your Inventory page

  2. Click on the Bean Lot in the warehouse location

  3. Click the Edit this item button in the toolbar

  4. Scroll to the 'Lot Details' section

  5. Edit the Quantity field to reflect the new total

  6. Click Save at the bottom of the page

Simply update the quantity for coffee that's still in your warehouse.

Merging Coffees at the Roastery

If you have multiple instances of the same coffee in your roastery that should be tracked as one:

  1. From the Inventory page, filter to display in-house coffees

  2. Select the coffees you want to merge by checking the boxes

  3. Click Merge coffees in the Actions menu

  4. Select which coffee will be the target (surviving) coffee

  5. Confirm the merge

Merging allows you to combine identical coffees at your roastery.

This process:

  • Archives the non-target coffee

  • Increases the target coffee's inventory

  • Updates any Roastables to use the target coffee

Coffees must be in a roasting location and share the same parent bean to be merged.

Scheduling Additional Deliveries

Another approach is to use the Deliveries feature when expecting more coffee:

  1. On the Inventory page, check the box next to the coffee that will be arriving

  2. Click Actions and select Create delivery

  3. Enter the expected delivery information

  4. When the coffee arrives, check-in the delivery

  5. The inventory will automatically be increased
